AI automation for insurance agencies, brokers and mortgage brokers

Brokers, insurance agencies and loan and mortgage intermediaries spend much of their week on documents, records and commission statements. We build AI agents that do the groundwork, so there is more time for clients. Advice and recommendations stay with you.

Where the time goes today

  1. A mortgage application is almost never complete on the first try. Chasing and checking papers takes longer than the meeting itself.

  2. Existing policies are rarely compared against current tariffs, because someone would have to read every one of them.

  3. Every insurer and bank sends commission statements in its own format, and they are reconciled by hand.

How an agent runs in your business

The exact steps depend on your process and your systems.

  1. Request documents

The agent sends the client the checklist that fits their case, employed or self-employed, purchase or new build.

  2. Check

It reads payslips, the property listing and the land register extract and checks that names, dates and figures match.

  3. Chase

If something is missing or out of date, it reminds the client.

  4. Prepare the request

The data is ready for your financing platform. You review it and submit.

What an agent can take on for you

  1. Use case: how this could work for you. Not a client project.

    Portfolio review

The agent reads all of a client's policies, compares cover with current tariffs and flags gaps. An overview is ready for the next meeting.

  2. Use case: how this could work for you. Not a client project.

    Preparing a mortgage application

The agent collects the client's documents, checks payslips, listing and land register extract for completeness and prepares the request to the bank. The advice is yours.

Invoicing, digital end to end

  1. Writing invoices

Commission reconciliation: the agent reads statements from insurers and banks, matches every line against your portfolio and flags missing or short commissions and cancellations. Sub-brokers receive their statements automatically.

  2. Approving incoming invoices

Invoices from service providers and pools go into approval, with the discount deadline tracked.

Cutting red tape for brokers

Insurance intermediaries must record each client's wishes, needs and the advice given, and hand over that record before the contract is signed. The agent drafts it from the meeting, and you check and sign it. For intermediaries licensed under section 34d of the German Trade Regulation Act, it tracks the 15 hours of training required per calendar year. Mortgage brokers must keep records for five years, and the agent files them completely for each client.

Your systems stay

The agent works with the software you already use, for example:

  • Broker management software
  • Financing platform
  • Comparison tools
  • Document management
  • Email

Where people decide

You decide in the meeting which policy or loan a client gets. The agent makes no recommendation and sends nothing without your approval.

How we work

Three steps: selection, proposal, pilot. In the free automation check we work out which process is the right place to start and which system access we need. Our proposal comes with a cost-benefit analysis at a fixed price. We build an agent in one to two days and test it with real cases the same week. The result belongs to you.

Data protection

We work GDPR-compliant on European infrastructure, with a data processing agreement as standard. If you prefer, the models run locally on your own hardware, so the data never leaves your premises.

Impact

Depending on the process, we cut process costs by 20 to 80 percent on average. That is our own figure at Sophera, not a study. Above all, your people get time back for the work they were hired to do.

Frequently asked questions

Does the agent work with our broker software?

Through an interface where there is one. Otherwise it operates the software through the screen, like an employee would.

Who is responsible for advice and records?

You are. The agent drafts, you check and sign.

How quickly is the first agent running?

We build an agent in one to two days. Testing with real cases happens the same week, and the pilot usually starts within the first week. Before that, we agree on the system access we need.

What does an automation cost?

We only work at a fixed price. You get the price in our proposal, once the open questions are settled in the free automation check. After that, the only running cost is the usage of the AI models, billed directly to you. No subscription, no operating fee.

Who looks after the automation once it is live?

Every automation comes with a maintenance agent included in the fixed price. It monitors operation, checks every interface for changes and tests changes against past cases. Anything it cannot fix itself becomes a ticket for your IT team.

Which of your processes is the right place to start?

We work it out together in the free automation check, along with the system access we would need.
