Industry: wholesale
AI automation for wholesale distributors
In wholesale, inside sales spends much of the day on the same routine: keying orders from emails into the ERP, matching supplier confirmations, checking invoices against goods received and crediting returns. We build AI agents that take over these steps and work with the systems you already run, so your team gets its time back for customers and suppliers.
A selection from our projects
We build every solution individually for each business. This is only a selection, and your process does not need to be on it.

Three steps: selection, proposal, pilot. In the free automation check we work out which process is the right place to start and which system access we need. Our proposal comes with a cost-benefit analysis at a fixed price. We build an agent in one to two days and test it with real cases the same week. The result belongs to you.
Data protection
We work GDPR-compliant on European infrastructure, with a data processing agreement as standard. If you prefer, the models run locally on your own hardware, so the data never leaves your premises.
Impact
Depending on the process, we cut process costs by 20 to 80 percent. That is our own figure at Sophera, not a study. Above all, your people get time back for the work they were hired to do.
Frequently asked questions
How quickly is the first agent running?
We build an agent in one to two days. Testing with real cases happens the same week, and the pilot usually starts within the first week. Before that, we agree on the system access we need.
What does an automation cost?
We only work at a fixed price. You get the price in our proposal, once the open questions are settled in the free automation check. After that, the only running cost is the usage of the AI models, billed directly to you. No subscription, no operating fee.
Who looks after the automation once it is live?
Every automation comes with a maintenance agent included in the fixed price. It monitors operation, checks every interface for changes and tests changes against past cases. Anything it cannot fix itself becomes a ticket for your IT team.

Wholesale process optimization pays off fastest at the margin. Five places where distributors lose money without anyone booking an error, and what automation can take over at each.
- Automating invoice verification in wholesale starts with the order confirmation
If you want to automate invoice verification in wholesale, the invoice is the wrong place to start. A worked example of an agent chain covering order confirmations, purchase prices, goods receipt and invoice matching.

- The order confirmation nobody owns
Purchase orders go out automatically, goods receipts get scanned, invoices pass through three way matching. The document in between is filed unread, and every deviation it contains surfaces weeks later somewhere else.
- Your invoice matching never checked whether the goods arrived
A purchase order says what you asked for. An invoice says what a supplier wants paid. Neither one is evidence that anything was delivered, and most automated matching stops right there.
- Your order automation is quoting list price to customers who negotiated something else
Overcharging gets reported. Undercharging never does. If your integration copies the price off the product record instead of asking the ERP, negotiated accounts have been billed wrong in both directions.
- Partial Deliveries Decide Whether Your Order Automation Pays Off
The normal case is quick to build. You pay for the exceptions, and in wholesale the most common exception is the everyday case.
- What an order intake automation actually takes over
Reading, matching, checking and entering is what the automation takes over. Where the limit sits and which two questions to settle before the quote.

Created does not mean released. Why the success criterion belongs in the proposal, and what happens when the order confirmation goes out too early.
